Using HubLMS with Live or In-Person Events

A common question we get is whether HubLMS can be used to track and grant credit for live, in-person events. While there isn't a direct, native integration for live events, the answer is yes — you can absolutely manage this process using the power of HubSpot's automation tools.

There are three primary methods for handling live events, depending on your goal.

Option 1: Grant Course & Exam Access After Attendance

This approach is ideal when you need attendees to review materials or pass a test after the event to receive their final certification. The live event essentially acts as the key that unlocks the final requirements in HubLMS.

How it works:

  1. On-Site Registration: At your event, attendees can scan a QR code or visit a specific URL on their mobile device. This link leads to a simple HubSpot form where they register their attendance.

  2. HubSpot Automation: The form submission instantly adds the contact to a HubSpot list, which triggers a workflow.

  3. Course Enrollment: The workflow enrolls the contact in a designated HubLMS course. This course can be as simple as a single lesson containing event resources (like slide decks or videos) and the final exam.

  4. Timed Certification: Using the workflow, you can set permissions and deadlines. For example, you can give attendees 48 hours after the event to complete the exam and earn their certificate.

Option 2: Grant Instant Completion & Certificate for Attendance

This method is perfect when simple attendance is enough to grant credit. It's a more direct approach that bypasses the need for the user to log in and complete any further steps.

How it works:

  1. Track Attendance: During the event, keep a record of who attended. This can be done by scanning badges or simply maintaining a list of names and email addresses. (or the HubSpot form option mentioned above)

  2. Import Contacts: After the event, an admin or trainer imports the list of attendees into the HubSpot CRM. (if form option is not used)

  3. Trigger Completion: The import can trigger a workflow that automatically creates a "My Course" completion record for each attendee.

  4. Issue Certificate: This action instantly marks the course as "certification" for those users and issues the corresponding certificate, triggering any subsequent automation you have in place. The user can then get an automated email (if you have this setup already) that a certificate is available.

Option 3: Use HubSpot Marketing Events for Virtual Webinars

This is the best option for virtual events like webinars hosted on platforms that integrate with HubSpot, such as Zoom, GoToWebinar, Eventbrite. It leverages HubSpot's native functionality to automate the registration and attendance process to allow certification.

How it works:

  1. Use HubSpot Marketing Events: Create your webinar as a marketing event in HubSpot, using its forms and landing pages for registration. Attendance data will automatically sync from your connected webinar platform.

  2. Trigger Workflow from Attendance: Use the "attended webinar" property for your marketing event as the trigger for a HubSpot workflow.

  3. Choose Your Outcome: The workflow can then execute one of two paths:

    • Grant Access: Enroll the attendee into a HubLMS course containing the webinar recording, resources, and/or a final exam (similar to Option 1).

    • Grant Certification: Automatically create a "My Course" completion record to grant immediate credit and issue a certificate (similar to Option 2).
