Set Up HubLMS Portal Access Lists

Learn how to create dynamic HubSpot lists to manage groups of contacts who are eligible for HubLMS portal access, like beta users.

  1. Understand that HubLMS uses specific contact properties, like HubLMSPortalAccess and HubLMSPortalAccessBeta, to manage portal access.
  2. These properties are used as criteria in the HubSpot membership groups that control access to portal pages.
  3. Navigate to CRM > Lists in HubSpot.
  4. Click "create list" and select "contacts".
  5. Name the list clearly, e.g., "HubLMS Beta Portal Access Users".
  6. Add a filter based on Contact Properties.
  7. Search for and select the relevant portal access property, such as "HubLMS Portal Access Beta", and set the criteria (e.g., "is yes").
  8. Ensure the list is an active list.
  9. Click "save and process". This list will dynamically update as contact properties change.
  10. To add contacts to this list in bulk, go to your Contacts view in the CRM, filter for the desired contacts, select them, click "Edit", and update the relevant portal access property to "yes".
  11. Caution: Modifying the criteria of the actual membership access groups that control portal access is a high-impact activity and should be done carefully, as it affects who can access the portal.
